EXECUTIVE COMMITTEE MEETING
SUNDAY APRIL 5, 2009

The meeting was held at Tom Armsnstrton’g house after the 2pm bike ride. Those in attendance were: Tom Armstrong, Earl Jones, Kevin Jones, Mark Luking, Andy Murphy Barbara Tretter, and Jim Tretter.

Those absent: David Ryan, who we tried on both lines to make a connection & never could. We even tried email. Sorry David.

ACTION ITEMS:

EARL:
1. Talk to Debbie Hatton; see if she is interested in looking for a new venue for the banquet in January.
2. Send email to Duc re: getting Active.com up & running for OKHT registration
3. Send email to Dirk Gowan re: Metro Grant money

JIM:
1. Send note to all mug recipients that they are ready & can be picked up at the May 17th General Meeting.
2. Write article for the Newsletter to get a Special Events committee together

DAVID:
1. Try to get Farnsley Morman House for the club picnic. Try for a Sunday in July after the 5th.

ALL MEMBERS:
1. Talk to club members about changing the makeup of the banquet. Do we want to do an awards night only & do the business meeting separate, i.e.; the polar bear ride, or leave as is?
2. Try to find someone who will help out with the fruit rides in June/July/August & help David with the picnic.

BANQUET: It was decided that we should find a new venue for the banquet this year. Some suggestions were: Tom Sawyer Park, in their new facility, the Olmstead, and Saints. We would keep it at the 2nd or 3rd Sat in January.

JIM: Taxes are due May 15th. IRS has changed their restrictions and we are now able to file the short form, as opposed to the long that we have done in years past. Jim will put the operating statement in the next Newsletter

OKHT: Jim reported that Lynn Luking, 2009 Director, just had a meeting and that they are on track for where they need to be. They have decided to include more bike shops in the tour this year.

ADVOCACY: Andy said that he is involved with the Tour de Olmsted this year. He would like for us to have a booth there & suggested that Barbara be there with membership forms, schedules, whatever else. He will contact Lynn & see if she is interested in putting out OKHT material. There will be a club ride out of the park in conjunction with this event & the there will be bike races as well as a short ride for the general public. Andy will need about 6-8 club volunteers to help with this.

EDUCATION: Tom said that due to lack of advertising, the Bike Maintenance classes that he held in March were not very well attended. He is going to try to get more advertising for the Bike Handling classes that will begin in May. He also is going to try to get some LCIs from the club to pick up another class that would run July/August out at Iroquois Park. That way there will be 3 classes; May/June downtown, June/July south end & July/August in St Matthews. The club will once again request Grant money from Metro Government. This money could be used for the extra class, as well as for PSAs on Cable TV, certificates of completion of the course, and fruit rides. Tom & Earl feel fairly confident we will receive the grant.

TOURING: The Tour de Mad Dog awards for 2008 are being put together by Steve Rice & Perry Finley. The club is putting up $30/person, approx 41 members will receive awards, and the balance will be paid by the recipients together with sponsor money from some bike shops, Clarksville Schwinn being one. The Derby Festival Ride is off officially, but since it is on the schedule, there will be a ride out of Waterfront Park. BIAK said since they could not get any backing from the Derby Festival committee this year, they decided not to go ahead.
Jim had suggested we might try to have 2 picnics this year, but the timing is short to do that. Farnsley Morman was suggested last year as the venue for this year’s picnic, so David will try to contact them & see if we can get a Sunday in July. He will need someone to help with the organization of this. At this time, the committee talked about trying to get a sub committee to help with social/misc events. Jim said he will write an article to see if we can get some people to step up. We will have the fruit rides again this year, & Mark said that & he Lynn will do some, but do not want to take responsibility for all of them. We need to find someone to help with these.

Tom also talked about the Bike classes that Barry Zalph is offering thru Biking for Louisville, his organization. These classes are similar to the club’s, only they focus more towards getting people to commute to work, as oppose to ours which mostly appeal to touring.

NEW BUSINESS: Mark suggested that we look at the format of the banquet & think about splitting it between an awards banquet & making the business meeting a separate meeting. The Polar Bear Ride was suggested as a venue for this. There was some discussion as to how this would work & since it did not have to be decided at this meeting, the members were asked to go out & talk about it to the general membership & see what their feeling is. According to the By-Laws, we must have an Annual Business meeting. One concern raised was holding the club’s main business meeting on New Year’s Day, a holiday.

Barbara asked about Lynn Luking selling LBC merchandise. Mark said that since she was purchasing merchandise for OKHT, that maybe she could get a better deal by purchasing more products. She had a winter jacket & a t-shirt that was made out of jersey material at the Monday night ride. At this point, she is just seeing if anyone is interested in buying these, & it was decided that before any orders are made, she would contact the Ex Comm.

Barbara also asked about the Ride Captain Guidelines that are on the web site. Kevin explained they are basically the condensed version of the power point document that Chad had put together in 2006. They should be on the web, but he said before that was done, he would have to edit them.
